The Opportunity

We are currently seeking a Sales Coordinator to manage all aspects of the Sales Administration for New & Used Construction and Utility machines in a timely manner to meet customer and organisational requirements.

Key Responsibilities:

  • Providing administrative support to the National Administration Manager, Regional Sales Manager and Regional Account Managers
  • Liaising daily with Operations Planner and Production Team to ensure machine build are processing in a timely manner to meet Customer agreed delivery dates.
  • Actioning Sales Department enquiries/requirements on a daily basis or as required.
  • Liaising daily with external suppliers to ensure attachments arrive in a timely manner to meet agreed delivery dates.
  • Receipting of machines into SAP and Dynamics upon arrival and inspection.
  • Creating Machine sales files and issue respective staff with approved request/requirements for job to be completed.
  • Ensuring machine delivery dates are reflected accurately within SAP on a weekly basis.
  • Creating invoicing for Finance Companies as requested and ensuring payment is received in line with company policy of Cash for Keys prior to machine dispatch.
  • Liaising with Operations Production, Account Manager, Customer Support Service Reps and transport companies for the handover of the new machine to the customer.
  • Analysing costs incurred for each machine built to ensure accuracy to ensure all costs included in sales price.
  • Assistance with entry of attachments and local option for technical approval through the SDR Request system.
  • Reserving of received attachments into SAP to reflect accurate attachment availability if required.
  • Correct allocation of attachments from stock to each machine via the correct SAP Processes in required.
  • Receipting trade machines into stock and organising payments to financers as required.
  • Ordering, receiving and distribution of promotional items.
  • Registration of machines, as required, with relevant State Transport Departments
  • Assistance with preparing machine for demonstrations and trade shows.
  • Maintaining detailed reports on a weekly basis and email reports weekly to Management and other relevant employees and producing additional reports as required by Management and other staff.

What we are looking for:

  • Previous experience in a similar role
  • Knowledge of SAP and AX systems, for future system changes/integration
  • Previous experience with Excel, Word, Outlook and PowerPoint
  • Attention to detail and accuracy with excellent communication skills.
