The Opportunity

Based at our Campbellfield branch we are seeking a Reception Administrator who will be the first point of contact for visitors, clients, and callers, creating a welcoming and professional environment. Reporting to the Administration Lead, this role is responsible for handling front desk operations, including greeting visitors, answering and directing phone calls, managing scheduling, and performing various administrative tasks.

 

Key Responsibilities

  • Provide a high level of customer service by answering inbound and making outbound call and welcome visitors, assisting with signing in, and notifying appropriate staff.
  • Complete service invoicing
  • Assist with contract maintenance, warranty cases and support the team with resolution of all customer enquiries.
  • Assist with payroll duties when required.
  • Complete staff expense claims.
  • Raise purchase orders (POs) and manage goods receipt.
  • Order employee uniforms, PPE, first aid & office supplies, and merchandise as directed.
  • Obtain and update register for certificate of currency documents for suppliers and contractors as required.
  • Assist with setting up of new vendors.
  • Co-ordinate travel arrangements for staff.
  • Receive daily mail and distribute accordingly.
  • Book necessary training for staff.
  • Monthly & Adhoc catering requests.
  • Replenish & Maintain kitchen consumables.
  • General administrative support to departments as required.
  • Maintain customer site induction
  • Maintain branch registers

 

What we are looking for:

  • Previous Customer service experience.
  • Intermediate Microsoft Office Skills (Excel, Word, Outlook, MS Teams). High competency in computer skills, preferably in SAP, payroll administration.
  • High level time management skills with ability to manage competing priorities.
  • Attention to detail and commitment to accuracy.
  • Strong written and oral communication skills, liaising with management, staff and customers.
  • Ability to work autonomously.
  • Work efficiently withing a team environment.
